Over the summer of 2001, Asian Unity members and officers alike came together to form the AU agreement, a document stating our mission as well as the rules our organization goes by. Asian Unity Agreement AU Mission
Statement The Asian Unity Association was founded with the aspiration of promoting and preserving the history and culture of the Asian American community in Hudson County through community outreach activities. AU is comprised of motivated youths that seek to share their background, bridge the generation gap and organize events that encourage greater appreciation for culture and diversity. Article 1: Membership Membership applies to high school youths between the ages of 12 and 21 years. In order to become a member, the applicant must ask and accompany an existing member to an official Asian Unity meeting. Interested applicants may also contact AU via emails through the Asian Unity Association Website. Before becoming a member, the applicant must read and consent to follow all the rules set in the AU Agreement. It is also mandatory for interested applicants to complete the AU application form before joining the organization. Members can be either of Asian descent or show an extremely strong commitment, interest and enthusiasm for the promotion of Asian heritage and culture. Article 2: Meetings and Attendance Meetings are needed to keep Asian Unity going. There will be mandatory meetings for the planning of cultural activities, where every member must attend, and informal meetings for members to get to know one another. Members will be informed of when and where the meetings will be held. If there is confusion as to the time or place of the meeting, members can contact the Officers using the contact sheet provided by Asian Unity. They can also check the AU message board for updates on meeting information. During meetings, it is important for all members to be courteous and listen while someone else is speaking. If a member has something to say, he/she should not hesitate and can ask to be heard. Another way for members to voice their opinions is through the message board, where topics of controversy can be debated. Attendance will be taken at every meeting.
If a member cannot attend the meeting, he/she must notify the Secretary
or the President before hand. Meetings are also open to participants and nonmembers. Article 3: Elections Elections of official positions in Asian Unity Association
shall be held once every year. The
time, place and manner of these elections will be predetermined by the consensus
of all the AU Active members, but it must take place within the month of June.
The newly elected officers must be presented before the beginning of the
next school year. Non-Active
Members do not have the power to place their votes in the election. There will be a three-term limit on all offices.
No person shall be elected to any office more than three times. Once nominated or selected, the person may refuse the
office or position. However, if
he/she accepts the position, he/she must follow the rules and responsibilities
outlined in this amendment. In the case of the removal of the President from office by
death, resignation, or impeachment, the Vice President shall become the
President. Whenever there is a
vacancy in the office of the Vice President, the President shall nominated a
Vice President who shall take office upon confirmation by a majority of votes of
the Active Members. If in the case that both the President and Vice President
are removed from office at the same time, the Project Coordinator, or the next
highest officer, under the guidance of the Advisor, is to take command and lead
until order is reestablished. In the case of the absence of a Project Coordinator, the
President and Vice President may nominate a Project Coordinator who shall take
office upon the consensus of the other officers and the advisor.
Until the annual election, the nominated Project Coordinator may be
removed at any time if the Officers feel the person to be not qualified for the
position. Article 4: Impeachment
and Termination of Membership Officers may only be removed from office for valid, mature
reasons such as embezzlement, abuse of office, harassment, theft, violation of
AU membership rules, neglecting their duties or endangering the welfare of its
members. Only the Advisor can
proceed with an impeachment and its process.
If the advisor is absent during a time when impeachment is urgent, the
Head of Board of Directors shall take the advisor’s place.
Officers can only be impeached with a 2/3 majority vote of the Active
Members and with the consent of the acting Advisor. The impeached officer shall return to the position of Active
Member. Active Members can be demoted to Members if their activity
in the group falters. However, they
will receive warning of non-participation prior to their demotion. Membership for a participant may be terminated if he/she
commits a grave offense and 2/3 of the Asian Unity Active Members vote for
his/her removal. In the case that a member wishes to leave AU, he/she must
write a written resignation. In the case that an officer wishes to resign, he/she must complete the current project as well as write a written resignation. Resigned officers may return to the position of active members. Article 5: Responsibilities The Board of Directors are former officers of Asian Unity
who choose to continue their support by seeking grants and financial aids to
fuel current organization objectives. They
are responsible for offering advice to current AU members and checking upon
Asian Unity regularly. The President and Vice President make sure that all members
and officers attend the meetings and activities. They are responsible for keeping the meetings and activities
running smoothly. Officers must
attempt to attend all the meetings. The Executive Officers must also be present at all AU
organized functions. If one or more
cannot attend, it must be under circumstances approved of by the advisor.
The event, however, must be kept running no matter what. The Project Coordinator is responsible for planning
upcoming AU events. There may be
two Project Coordinators if the Officers feel there is a need for more than one. The Treasurer is responsible for keeping a record of the
money in the Asian Unity Account and to reimburse members for their financial
contribution to AU activities. He/She
must make sure all receipts are valid before writing vouchers.
Treasurer must also make a photocopy of all receipts. The Secretary takes notes and attendance during all AU
meetings. He/She is responsible for
posting up all that was discussed at the meetings on the Asian Unity message
board. The Secretary is also
responsible for notifying all members of upcoming meetings, and must report back
to the Executive Officers of members who cannot attend. There may exist non-official positions such as Public
Relations, and candidates for these positions may be voted or selected upon
through the consensus of the Officers. Active Members are required to attend 75% of all meetings
and activities. He/She must also
serve regularly on ad-hoc activity committees. Members are required to attend 60% of the activities and
must check the AU message board at least once a week. Executive Officers include the President and the Vice President. Officers in general include the Executive Officers, the
Project Coordinator, the Secretary, and the Treasurer. Article 6: Amendments When 1/2 of the presiding members agree that a change is
needed, they must debate and carefully consider all possible solutions.
Then, with at least 2/3 of the Active Members’ support, an amendment
may be added to the original AU Agreement. The advisor has the power to propose an amendment. The purpose for this long process is to make sure that the Asian Unity Agreement cannot be changed constantly. |
